What data we collect, and why

When you use SProbot

When you sign up, we collect your contact information.

When you use the services within SProbot, we get access to any Microsoft tenants you connect to. Here is the list of permissions you need to grant to be able to use these services.

We do not store data from the tenants you connect to within SProbot.

When you sign up for product updates

We use your contact information to send you updates. You can unsubscribe at any time.

When you visit our website

When you visit https://www.sprobot.io we collect standard data about your internet connection and usage. We use this data to help us improve our website and services. For instance, we collect the URL you came from, IP address, domain type, browser type, the country and telephone code where your device is located, the web pages viewed, the advertisements you clicked on, and any search terms you entered on our website.

We use cookies, web beacons and other technologies to optimise your experience. We use it to collect and store data about your visit to or use our online services. Cookies are small data files stored on your hard drive or in device memory that help us improve our online services and your experience and to see which areas and features of our online services are popular. Web beacons are electronic images we use in our online services or emails and help deliver cookies, count visits and understand usage and campaign effectiveness.

We may later associate the usage and other data we collect online with personal data about you, including by association with your email or home address.  We (or service providers on our behalf) may then send communications and marketing to these email or home addresses, as permitted or required by law.  You may opt out of receiving this advertising by visiting https://app.retention.com/optout.

What we do with your data

We host your SProbot profile, subscription, and the content and configurations you create in Microsoft Azure. Your data is stored at rest in South Africa North.

We keep your personal data confidential. We share it with our service providers only if they have agreed to protect it in line with applicable data protection legislation.

We use the data we collect from you for various reasons, including to:

• deliver our services;
• communicate with you about our services;
• send you our newsletter or notifications of product updates if you ask us to;
• provide support;
• comply with and enforce applicable laws and     regulations, relevant industry standards, contractual obligations and our     policies; and
• administer, evaluate and improve our business.

Sometimes the law requires that we share your personal data, for instance, to comply with tax regulations.

Your rights and preferences

You have the right to:

• ask what we know about you;
• ask what personal data we sent to suppliers, service providers, or anyone else;
• ask us to update, correct or delete any out-of-date or incorrect personal data we hold about you;
• unsubscribe from any direct marketing we may send you;
• object to our use of your personal data in certain circumstances;
• ask us to restrict our processing of your personal data in certain circumstances;
• reuse your personal information for your own purposes across different services, also known as the right to data portability

It can take us up to 21 days to respond to your request because there are procedures that we must follow. Sometimes, we may ask you for proof of your identity and residence.

If you live in the European Union, you can complain to a supervisory authority in the Members State where you live or work or where a data protection law infringement occurred. If you live in South Africa, you can complain to the Information Regulator.

How we secure your data

We have implemented reasonable security safeguards to protect the personal data that you provide.

But no system is perfect, and no service is 100% secure. So, while we will do everything reasonably necessary to secure the data, we cannot rule out unauthorised access, hacking, data loss, or data breach.

This is what will happen if we have a security breach:

• we will analyse where the security breach was;
• ensure that the breach cannot happen again; and
• let you know that our security was breached and suggest ways to ensure you don’t suffer any damage because of the breach.

To protect your data, you must keep any login details for SProbot confidential and not disclose them to anyone else.

Please let us know immediately if you think your login details have been compromised.
